How AXK Field handles your data.

A field agent uses the app to enroll farmers and cooperatives into the AXK network, register and verify farm plots, walk plot boundaries, log harvests, and capture supporting documents and photos. Because of this, the app collects two kinds of personal data: data about the field agent (the person using the app), and data about third parties — the farmers and cooperatives the agent enrolls — which the agent collects in the field and submits to the AXK platform. All data is transmitted to and processed by the AXK platform operated at https://app.axk.org.

01 · Data we collect

About the field agent (the app user)

• Name— the agent’s profile name.
• Email address — used as the login identifier and for account management.
• Phone number — agent profile (if provided).
• Profile photo — if the agent sets one.
• Push notification token— a device token (Firebase Cloud Messaging on Android, Apple Push Notification service on iOS) used to deliver operational notifications to the agent’s device.
• Precise location (foreground) — captured while the agent uses location features (see below).

About enrolled farmers and cooperatives (third parties)

When a field agent enrolls a farmer or cooperative, the agent collects and submits the following on that person’s or organisation’s behalf:

• Name of the farmer or cooperative.
• Phone number (optional).
• National ID number (optional).
• Gender (optional).
• Location / address — district, region, and country, typically reverse-geocoded from a GPS fix taken at the location and editable by the agent.
• Scanned identity, land-title, and enrollment documents — captured with the in-app document scanner or attached as files. These documents may themselves contain personal data belonging to the enrolled person (e.g. identity details on an ID card or land title).
• Farm plot data — plot location (GPS point and walked boundary polygon), area, commodity type, and associated photos and harvest records linked to that farmer.

The field agent is responsible for obtaining the enrolled person’s consent to collect and submit this information, in line with AXK’s field procedures and applicable law.

Location data

The app uses precise location, foreground only — it does not access location in the background. Location is used to:

• geo-tag farm plots and harvest records,
• record the walked plot-boundary polygon for due-diligence / EUDR purposes,
• reverse-geocode an approximate address during enrollment, and
• support in-field plot verification.

Photos, files, and documents

• Photos of plots and harvests, captured with the camera or selected from the device library, uploaded as evidence.
• Documents scanned with the in-app document scanner (e.g. land titles, ID documents, enrollment paperwork) or attached as files, uploaded to the AXK backend.

What we do NOT collect

• No advertising and no advertising identifiers. The app contains no ads.
• No payment or financial information is collected by the app.
• No crash or diagnostic telemetry is sent. A crash-reporting component exists in the codebase but is disabled — it requires a configuration key that is not set in any released build, so it is inactive and collects nothing.

02 · How we use data

We use the data described above to:

• authenticate the agent and manage their account,
• operate the core field workflow — enrollment, plot registration and verification, boundary capture, harvest logging, and document/photo capture,
• maintain traceability and supply-chain due-diligence records (including EUDR-related plot geometry),
• deliver operational push notifications to the agent’s device.

We do not use this data for advertising or for any purpose unrelated to operating the AXK network.

03 · Storage, security & retention

• Data is transmitted over HTTPS (encrypted in transit) to https://app.axk.org.
• Authentication uses a session credential stored securely on the device.
• Operational records (enrollments, plots, harvests, captured documents and photos) are retained by the AXK platform for as long as needed for the traceability, due-diligence, and business purposes for which they were collected, and as required by applicable law.

04 · Third parties

The app relies on the following infrastructure providers:

• Google Play Services / Google Maps SDK— map rendering and reverse-geocoding of location (Google’s terms and privacy policy apply to the mapping service).
• Firebase Cloud Messaging (Google) and Apple Push Notification service (Apple) — delivery of push notifications via the device token.

We do not sell personal data and do not share it with third parties for their own independent purposes.

05 · Your choices and data deletion

Field agents

You can delete your account from within the app: Settings → Delete account, confirm by typing “DELETE”. This marks your account for deletion on the AXK platform and disables further access. Step-by-step instructions are on the account deletion page.

Important: Deleting your agent account does not delete the enrolled-farmer and cooperative records you submitted. Those records belong to the AXK platform and to the people they describe, and are retained and managed by AXK as the data controller for that information.

Enrolled farmers and cooperatives (data subjects)

If you are a farmer or cooperative whose data was submitted through AXK Field and you wish to access, correct, or delete your personal data (including scanned documents), contact us at rovifyinc@gmail.com and we will action your request in accordance with applicable law.

06 · Children

AXK Field is a professional tool restricted to adult field agents (18+). It is not directed at childrenand we do not knowingly collect personal data from children through the app’s user accounts.

07 · Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
